EAL Translate privacy notice

EAL Translate is made by Forge Class Software Ltd (company number 16547331), a UK company. It comes as a Windows desktop app and a Chrome extension, and is sold to schools by subscription. This notice explains what happens to information when staff use it. Our general privacy policy at forgeclass.co.uk/privacy covers our website and purchases.

01The documents you translate

  • When a member of staff drops a file into EAL Translate, the app sends the file's text and layout to our server at subjecthub.co.uk. Pictures and video stay on the computer.
  • The text is translated by Anthropic's Claude AI service, and the translated file is sent straight back.
  • We don't store your documents or their text. They are held in memory only while they are being translated.
  • Anthropic uses the text only to return the translation. Under its commercial terms it doesn't use it to train its models, and keeps it for no more than a short period for safety checks.
  • Please don't translate documents containing pupils' names or other personal details. EAL Translate doesn't need any pupil data.

02What we record

For each translation we record:

  • the school;
  • the date;
  • the file name;
  • the language;
  • an automatic label of the subject, kind of resource and key stage;
  • whether it came from the desktop app or the Chrome extension;
  • an anonymous staff number.

The staff number is a one-way scrambled ID:

  • Desktop app: made from the Windows user name.
  • Chrome extension: made from a random number kept in that Chrome profile.

We use it only to count how many different staff use EAL Translate. We never record names or email addresses for it, and it can't be turned back into one.

Schools receive a usage summary built from these records: how many documents were made, how many staff made them, and which subjects, languages and kinds of resource.

03What stays on the computer

  • Desktop app: the staff member's language choices and options are kept on that PC.
  • Chrome extension: they are kept in that person's Chrome profile.
  • The school's settings file (its install code) is put there by the school's IT team.

04Who we share data with

  • Anthropic: to translate the text.
  • Render: our hosting provider.
  • Google Firebase: where the usage records are stored.

We don't sell data, and we don't use it for advertising.

05How long we keep it

We keep usage records while the school subscribes and for 12 months afterwards, so the school can see its usage, and then we delete them. A school can ask us to delete its records sooner.

06Your rights

Under UK GDPR you can ask for access to, correction of, or deletion of personal data we hold, and you can complain to the Information Commissioner's Office (ico.org.uk).
